Add or Update a Record for a Prize
To add or update a Prize record, follow these instructions:
- Create a New Record or Open an Existing Record
Follow these instructions to create a new record or open an existing record.
- Update the Available Updates Tab
Follow these instructions if you open an existing record and the Available Updates tab displays.
- Update the Metadata Tab
- Metadata Tab: Type
For the Type section, complete the following required field:
- Type (required)
In the Type field, select prize, award, or other distinction as appropriate to the prize.
- Metadata Tab: Prize Information
For the Prize Information section, complete the following required and optional fields:
- Title (required)
In the Title field, enter the title of the prize.
- Description
In the Description field, enter a brief description of the prize.
- Awarded Date (required)
In the Awarded Date field, enter the date the prize was awarded.
- Degree of Recognition
In the Degree of Recognition field, select the degree of recognition if applicable.
- Granting Organizations
In the Granting Organizations field, add the organization(s) that granted the prize. To do so, click the Add granting organization button and search for the organization. If the organization does not appear, click Create external organization, complete the fields, then click Create. The GS Commons Team will update the organization if needed.
- Awarded at Event
In the Awarded at Event field, add the event at which the prize was awarded. To do so, click the Add event... button and search for the event. If the event does not appear, click Create new, complete the fields, then click Create. The GS Commons Team will update the event if needed.
- Metadata Tab: Persons/Organizations and Period
For the Persons/Organizations and Period section, complete the following required and optional fields:
- Recipients (required)
In the Recipients field, add the names of the recipients of the prize. To do so, click the Add person… button and search for one or more current faculty members (i.e., internal person) or add an external person. Use the Up and Down arrows to arrange recipients as appropriate. To add a recipient organization, click the Add organizational unit... button and search for the organization. If the organization does not appear, click Create external organization, complete the fields, then click Create. The GS Commons Team will update the organization if needed.
- Metadata Tab: Managed by Organization
Follow these instructions to update the Managed by Organization section.
- Metadata Tab: Files and Links
Follow these instructions to update the Files and Links section.
- Metadata Tab: Keywords
For the Keywords section, complete the following optional field:
- Prize/Award Amount
In the Prize/Award Amount field, enter the monetary value of the prize in U.S. dollars if applicable.
- Metadata Tab: Relations
Follow these instructions to update the Relations section.
- Metadata Tab: Visibility
Follow these instructions to update the Visibility section.
- Review the Relations Tab
Follow these instructions to review the Relations tab.
- Update the Fingerprints Tab
Follow these instructions to update the Fingerprints tab.
- Update the History and Comments Tab
Follow these instructions to update the History and Comments tab.
