Special Collections Training Manual: Retrieving and Storing Special Collections

This manual is designed for Special Collections staff including graduate assistants, student assistants, interns, and volunteers in the established procedures for collecting, preserving, and making materials available.

How to Retrieve an Item from the ARC

  1. Click Inventory tab
     
  2. Click Display filter editor
    Make sure Item Number and Equal are selected. If not, select from drop down box
     
  3. Enter barcode and click Accept
    Item should appear as Available. (If item appears as Delivered, discontinue pick request. This item may be located elsewhere). If Available, proceed.
     
  4. Right-click item and select Add Pick Request. Click OK
     
  5. Once bin/container arrives, click Operations tab (Note: Sector location of item will appear highlighted in green)
     
  6. Locate item in the bin. Once item is located, scan item barcode. Make sure Work Completed message appears confirming the retrieval. 
     
  7. Click Release Bin

How to Store an Item in the ARC

  1. Click Activate Store tab
     
  2. Enter barcode and click Accept
    When the container arrives, click the Operations tab (Note: Sector location where item should be stored will be highlighted in green.)
     
  3. Scan item barcode again. Make sure Work Completed message appears confirming the store.
     
  4. Physically place item in correct sector as indicated on screen.
     
  5. Click Release Bin

How to Fix an Out-of-Service Bin in the ARC

1. If a bin is stalled and not moving, click on the S/RMs tab. Check the row of information about your aisle. If the text is green, wait several minutes until the text turns red and the Current Status is “out-of-service”.

2. Wait several minutes until the text turns red
and the Current Status reads: “Out-Of-Service”
 

3. Right click anywhere in the row of information about your aisle. Click on Change SRM Status, then click Place in Service.
 

4. Select Retry, then click OK. Be careful-- DO NOT SELECT "Abort"!
This will take the entire ARC out of service, and you will have to call someone from Systems to restart the ARC.

If successful, the Current Status should reads: “In-Service”
